Lease Administration Analyst -- Wayne, PA

About the Job:

Our Wayne office is currently seeking a full-time Lease Administration Analyst to support our healthcare accounting team.  This position will be responsible for assisting in the abstract and analysis process of lease documents, collection and application of tenant rents.  This qualified candidate will work on a detailed-oriented accounting team with a high volume of leases and projects which require immediate attention.   

 Job Responsibilities:

  • Abstract Lease, Amendments, Termination and/or Promissory Note Agreements for changes
  • Apply and Reconcile Cash Receipts
  • Update Lease Administration system
  • Review and compare measurement plans, rent rolls and expiration reports for accuracy
  • Interact and communicate with the Lease Transaction Team
  • Prepare and update reports in Word and Excel

 

Job Requirements:

 Real Estate Transaction Coordinator -- Wayne, PA

 About the Job:

Our Wayne office is currently seeking a full-time Real Estate Transaction Coordinator to support our healthcare real estate team. This position will be responsible for assisting team leaders in the management of corporate accounts and the leasing process, but will focus on initiating transactions, transaction management, data entry and reporting. The qualified candidate will work on a fast-paced real estate team with a high volume of transactions.  This position will be frequently required to complete projects on very short notice with extreme time constraints.

The ideal candidate will have previous experience in day-to-day administration along with supporting a sales team, be a fast learner, a positive person and a great communicator.  The ideal candidate is self-motivated, detail-oriented, organized, and capable of high level problem solving.

Job Responsibilities:

  • Provide administrative support to real estate broker/salesperson
  • Initiate lease transactions and track expiration reports
  • Coordinate, track and maintain transactions as they progress through lease process
  • Obtain necessary signatures on closing paperwork
  • Communicate with brokers, attorneys, CEO’s and other high level individuals
  • Prepare and update reports in Word and Excel 
  • Schedule conference calls and coordinate some travel arrangements
  • Some printing, filing and document management

 

 Job Requirements:

  • Two years minimum of experience in an administrative capacity
  • Proficiency in Microsoft Office (particularly Word, Excel and Outlook) and Adobe Acrobat
  • Strong attention to detail and accuracy in composing and proofing materials
  • Prior lease audit or commercial property experience preferred but not required
  • Ability to understand, interpret, and abstract real estate documents is preferred
  • Must have excellent time management skills

Job Description

  • The role of transaction coordinator will be to assist in the management of a corporate account, which will include administrative duties, client interaction, transaction management and reporting
  • Assist in the management of the lease process including initiation of transactions, document processing, data input, and the tracking/reporting of each lease transaction
  • Interact and communicate with clients and tenants
  • Ability to discuss and present lease terms within a defined parameter
  • Track data for monthly reporting
  • Compile and provide any necessary reporting for client as needed
  • Assist with general oversight of account, ensuring leases are compliant and completed in a timely manner

 

Desired Skills and Experience

Responsibilities include:

  • Marketing, leasing, and sales of industrial and office properties.
  • Must be comfortable cold calling and working directly with CFO’s, CEO’s and top decision makers.
  • Market property by advertising vacancies; identify and approach prospective tenants; create market strategies, distribute marketing materials; participate in community and regional activities; prepare and submit proposals; generate leads; and respond promptly to inquiries.
  • Show properties by setting appointments; provide property statistics and leasing information; highlight benefits, such as, location, surrounding area, transportation, access, neighbors, building systems and services, amenities, occupancy history, owner performance, tenant satisfaction, and security.
