COMPLIANCE COORDINATOR -- Wayne, PA

About the Job:

Our Wayne office is currently seeking a full-time Compliance Coordinator to support our compliance team. This position will be responsible for:

  • Provide Administrative Assistance to the Compliance Group
  • Set up all travel for compliance Hospital visits
  • Prepare letters for the Hospital executive team for each compliance visit
  • Set up compliance binder for each visit which includes providing the necessary information within the binders such as FMV reports, SRG plans, rent rolls and other miscellaneous information
  • Coordinate meeting for the compliance visit with the Hospital executive team and executive administrative assistant
  • Confirm the owned and leased properties with each Hospital prior to each scheduled visit. Distribute this list among the team and to the marketing person
  • Liaison with the President of Geis and his executive assistant regarding the compliance program travel and scheduled Hospital visits
  • Set up the photo share files with other Geis team member prior to compliance Hospital visit
  • Liaison with Geis Accounting and Holladay for all compliance accounting questions and issues
  • Provide administrative support while compliance team is traveling in the field
  • Keep all compliance tracking spreadsheets current
  • Keep the compliance travel calendar updated
  • Keep the compliance file cabinet and binders updated and in order
  • Assist with the closing out of all Hospital compliance violations
  • Assist with the research on any Hospital compliance issues
  • Complete a thirty day review of all compliance issues by Hospital
  • Assist with preparation of the Compliance Summary reports
  • Provide feedback to compliance team on any compliance related issues
  • Assist with the preparation of each expense report at the close of each Hospital compliance visit
  • Provide the necessary documentation/paperwork to the responsible department and party for the compliance corrections as noted on the Hospital Compliance Summary reports
  • Provide assistance with other miscellaneous projects associated with compliance and property management related issues

REAL ESTATE TRANSACTION COORDINATOR -- Wayne, PA

About the Job:

Our Wayne office is currently seeking a full-time Real Estate Transaction Coordinator to support our healthcare real estate team. This position will be responsible for assisting team leaders in the management of corporate accounts and the leasing process, but will focus on initiating transactions, transaction management, data entry and reporting. The qualified candidate will work on a fast-paced real estate team with a high volume of transactions.  This position will be frequently required to complete projects on very short notice with extreme time constraints.

The ideal candidate will have previous experience in day-to-day administration along with supporting a sales team, be a fast learner, a positive person and a great communicator.  The ideal candidate is self-motivated, detail-oriented, organized, and capable of high level problem solving.
 

Job Responsibilities:

  • Provide administrative support to real estate broker/salesperson
  • Initiate lease transactions and track expiration reports
  • Coordinate, track and maintain transactions as they progress through lease process
  • Obtain necessary signatures on closing paperwork
  • Communicate with brokers, attorneys, CEO’s and other high level individuals
  • Prepare and update reports in Word and Excel 
  • Schedule conference calls and coordinate some travel arrangements
  • Some printing, filing and document management

 

 Job Requirements:

  • Two years minimum of experience in an administrative capacity
  • Proficiency in Microsoft Office (particularly Word, Excel and Outlook) and Adobe Acrobat
  • Strong attention to detail and accuracy in composing and proofing materials
  • Prior lease audit or commercial property experience preferred but not required
  • Ability to understand, interpret, and abstract real estate documents is preferred
  • Must have excellent time management skills
  • Ability to work effectively both independently and in team environment
  • Ability to exercise good judgment and use discretion
  • Comfortable working in a fast-paced environment
  • Ability to prioritize and multi-task 
  • Strong communication skills (written, oral and phone etiquette); communicating with individuals at all levels of the organization and our clients’

Job Description

  • The role of transaction coordinator will be to assist in the management of a corporate account, which will include administrative duties, client interaction, transaction management and reporting
  • Assist in the management of the lease process including initiation of transactions, document processing, data input, and the tracking/reporting of each lease transaction
  • Interact and communicate with clients and tenants
  • Ability to discuss and present lease terms within a defined parameter
  • Track data for monthly reporting
  • Compile and provide any necessary reporting for client as needed
  • Assist with general oversight of account, ensuring leases are compliant and completed in a timely manner

 

Desired Skills and Experience

Responsibilities include:

  • Marketing, leasing, and sales of industrial and office properties.
  • Must be comfortable cold calling and working directly with CFO’s, CEO’s and top decision makers.
